Job Summary

Salary range 7/1/19: $19.67/hr - $27.12/hr

Under general supervision, the Inmate Services Specialist performs a variety of clerical tasks to include filing, data entry, and responding to internal and external inquiries and requests. Processes and maintains inmate property, mail, files, and commissary accounts.

Job Responsibilities

Processes daily incoming and outgoing departmental and inmate mail; logs, sorts, and labels inmate mail following prescribed policies and procedures; provides written documentation regarding mail refusal.

Prepares and maintains inmate property records; itemizes and logs property of new inmates; transfers property to an inmate and releases inmate property and money; assists in the maintenance of prisoner commissary accounts including receiving payments and logging transactions.

Organizes, files, and prepares inmate files and jail administrative records for scanning; purges files in accordance with prescribed procedure.

Compiles and maintains inmate statistics and prepares monthly Strategic Accountability Management System reports (SAMS) for use of force; processes inmate grievances including entering grievance into Offender management System, distributing to appropriate party, inputting outcome into computer and filing.

Assists with responding to public inquiries and requests; refers callers or visitors to appropriate area or agency for response; responds to various questions from the Clerk's Office and outside agencies regarding inmates, responds to inmate inquiries via electronic mail system.

Coordinates the transport of inmates for medical trips, court transport orders, and interstate compacts; monitors all EDMS court email traffic for transport orders; coordinates and schedules transport attendants and distributes confidential transport schedules to appropriate parties.

Performs a variety of accounts receivable work; produces monthly invoices for centralized booking fees, fingerprint fees, inmate care and keep, and juvenile transports within the ERP system; researches, calculates, and produces proposed orders for room and board fees for inmates; accepts and records all payments received utilizing the ERP system.

Assists with the inmate phone system; troubleshoots account issues and answers questions for jail staff; resets inmate PIN numbers; testifies in State and Federal court as required.

Processes all disciplinary reports; enters hearing results into jail management system; calculates restriction dates based on previous disciplinary actions; updates and distributes master log of all restrictions to jail staff and management; prepares, files, and distributes hearing result sheets.

Standards for Initial Consideration

Education, Training, and Experience Guidelines

High school diploma or GED equivalent; AND two (2) years of administrative experience; OR an equivalent combination of education, training, and experience.

Knowledge of:

Applicable local, State, and Federal laws, codes, regulations, and ordinances.

General office practices, procedures, and equipment.

Customer service principles, practices, and etiquette.

Cash handling and basic accounting practices.

Records maintenance and retention policies, procedures, and practices.

Skill in:

Typing and entering data with speed and accuracy.

Operating a computer including standard software and some specialized software.

Completing multiple tasks simultaneously.

Establishing and maintaining cooperative working relationships.

Communicating effectively verbally and in writing.
